Bookkeeper cover letter example & template

A full-charge bookkeeper cover letter written to a small contractor's owner. It answers the owner's real question, whether the books will be right without supervision, with specific systems and filings.

  • Opens on the posting's specific needs: job costing and certified payroll for public work.
  • Proof is sized in the owner's terms: employees on payroll, active jobs, receivables collected.
  • Short and plain, the way a small-business owner reads mail.

Re: Full-Charge Bookkeeper
Dear Ms. Chavez,

Your posting mentions job costing, certified payroll for public projects and a controller who wants the close done earlier. Those are the three things I handle every month as the only bookkeeper at Sandia Mechanical Services, a 42-person contractor here in Albuquerque.

When I started there in 2021, job costs were tracked in a spreadsheet the owners updated when they had time. I set up projects and phases in QuickBooks Online so labor and material post to about 60 active jobs as they happen, and the owners now review job margins at the monthly meeting instead of at year end. I run biweekly payroll in Gusto, prepare certified payroll reports for our public school work, file gross receipts tax monthly, and close by workday 8. I also brought receivables over 60 days down from $212K to $88K by moving progress billing to a weekly schedule and calling customers on day 31.

Before Sandia I kept books for 14 small businesses at a bookkeeping and tax firm, including a two-year cleanup for a restaurant that had fallen behind. I hold the Certified Bookkeeper credential from AIPB and am a QuickBooks Online ProAdvisor.

I would be glad to come by and look at how your books are set up today. I can usually meet after 3 p.m. on weekdays.

Sincerely,
Darnell Price

How to write a bookkeeper cover letter

What the people reading these letters look for, and what makes them stop.

What to lead with in a bookkeeper cover letter

Small-business owners and controllers want to know that you can run their books without being checked on. Open by naming the specific work in the posting, such as payroll, job costing, sales tax, or a cleanup, and say where you already do it. If the business is in the same industry you have kept books for, say that in the first two sentences. An owner of a restaurant, a contractor or a medical practice reads industry experience as a sign you know their chart of accounts.

Proof to include

Give sizes and deadlines: how many employees on payroll, how many client files or accounts, what day your close is done, which returns you file. One before and after example, such as setting up job costing or cleaning up a year of miscategorized entries, shows you can fix books rather than just maintain them. Name your software and credentials once: QuickBooks Online, Xero, Gusto, the AIPB Certified Bookkeeper or NACPB Certified Public Bookkeeper, and Intuit ProAdvisor.

What to leave out

Skip general statements about accuracy and trustworthiness; every applicant claims them and your numbers already show them. Do not name clients or share their figures if you work at a bookkeeping firm, since owners notice when a candidate is loose with confidential information. Keep it to one page and three or four short paragraphs. Owners of small companies often read applications between jobs, and a long letter tends to get set aside.

Bookkeeper cover letter FAQ

Quick answers before you start writing.

What should a bookkeeper cover letter include?

A strong bookkeeper cover letter opens with a specific hook tied to the role and company, proves your fit in one or two middle paragraphs with concrete, quantified examples, and closes with genuine interest and a clear next step. The example above shows that structure end to end.

How do I make a bookkeeper cover letter stand out?

Skip the generic opening and lead with something specific: a result you're proud of or a reason this company in particular. Back every claim with a number or a concrete example, and mirror the language of the job posting so it reads as tailored, not templated.

How long should a bookkeeper cover letter be?

Keep it to three or four short paragraphs on a single page, roughly 250 to 400 words. Hiring managers skim, so be specific and stop once you've made your case.

Can I tailor this bookkeeper cover letter to a specific job?

Yes. Create a free account, edit any section, switch the style and accent colour, and let Lucipath draft a version tailored to a specific posting from your profile and then download it as a PDF.
