Executive Assistant cover letter example & template

An executive assistant cover letter for a CFO role. It shows how the writer runs a senior executive's week and a board cycle, and it demonstrates discretion by what it leaves unsaid.

  • Names the executive level supported and the board cycle, the two things EA hiring turns on.
  • Uses one short story (a cancelled flight on a roadshow) to show judgment under pressure.
  • Mentions confidential work without revealing a single detail about it.

Re: Executive Assistant to the Chief Financial Officer
Dear Ms. Albright,

The posting for this role mentions quarterly board and audit committee materials, heavy travel to operating sites, and a calendar that needs to be managed as closely as the budget. I have spent the past five years doing that for the CEO of Piedmont Fiber Networks, and I would like to bring it to a finance leader.

Each quarter I build our board book in Diligent for nine directors. I set the section deadlines with six department heads, chase the late ones, check page numbering and version history, and publish seven days before the meeting. In five years we have not missed that date. Day to day I run a calendar of 35 to 45 meetings a week across three time zones and reconcile the CEO's Concur card each month without a rejected report.

Travel is where planning gets tested. On a five-city investor roadshow last year, two connecting flights were cancelled on the same afternoon. I had rebooked the CEO, moved a dinner by an hour and told both hosts before he landed. I also keep the executive committee minutes and hold files that only the CEO and our General Counsel can see, so I understand how an office handling earnings or deal information has to run.

I would welcome a conversation about how your CFO likes to work and what the first quarter in the role would need to cover. I can be available on short notice.

Sincerely,
Ada Nwosu

How to write an executive assistant cover letter

What the people reading these letters look for, and what makes them stop.

What to lead with in an executive assistant cover letter

Lead with the level and the rhythm of the role in the posting: which executive, what board or committee cycle, how much travel. Then say, in one sentence, that you already run that rhythm for someone at a comparable level. Executives and chiefs of staff reading EA letters are deciding whether you can operate at their altitude without training, so naming the level you support now is the most useful thing the first paragraph can do.

Proof that makes the letter credible

Pick the two or three recurring responsibilities that carry the most risk, usually board materials, calendar and travel, and describe how you run them: deadlines, volumes, tools such as Diligent, Outlook and Concur. Add one short example of a problem you handled before your executive had to think about it. A rebooked trip or a caught scheduling conflict shows judgment better than any adjective can.

What to leave out

Leave out anything that reveals your current executive's business, schedule or personal life, even as a compliment. A letter that shares confidential detail fails the discretion test before the interview. Don't describe yourself as discreet, organized or proactive; show it instead. Skip generic office duties like answering phones and ordering supplies unless the posting asks for them, since they pull the reader's sense of your level down.

Executive Assistant cover letter FAQ

Quick answers before you start writing.

What should a executive assistant cover letter include?

A strong executive assistant cover letter opens with a specific hook tied to the role and company, proves your fit in one or two middle paragraphs with concrete, quantified examples, and closes with genuine interest and a clear next step. The example above shows that structure end to end.

How do I make a executive assistant cover letter stand out?

Skip the generic opening and lead with something specific: a result you're proud of or a reason this company in particular. Back every claim with a number or a concrete example, and mirror the language of the job posting so it reads as tailored, not templated.

How long should a executive assistant cover letter be?

Keep it to three or four short paragraphs on a single page, roughly 250 to 400 words. Hiring managers skim, so be specific and stop once you've made your case.

Can I tailor this executive assistant cover letter to a specific job?

Yes. Create a free account, edit any section, switch the style and accent colour, and let Lucipath draft a version tailored to a specific posting from your profile and then download it as a PDF.
